QAV'S VIRTUAL MEETING SERVICES.

QAV have been providing webcasting services for over 15 years and continue to grow. Our custom built webcast and record suites have given us an increased capacity and flexibility to expand on our global deliveries.

QAV have been providing webcasting services for over 15 years, with our own developed webcast extension system called Connect Plus. Connect Plus utilises Adobe Connect, Zoom and WebEx.

In the last 3 years QAV have successfully undertaken over 1000 webinars.

Pre and post the pandemic the number of webcast projects still continue to grow. Our custom built webcast and record suites have given us an increased capacity and flexibility to expand on our global deliveries.

James Hampton (Associate Director) summed up. “5 webcasts and 3 remote records in one working day proves we have the ability to deliver, but most importantly in the most professional manner”.

While COVID still had a big impact on the events industry, within QAV, there is a positive buzz of survival and growth across the whole company as we focus our services on providing live events, film production, hybrid events and remote only webcasts plus any associated services. The flexibility of the staff and the efforts in providing additional training ensured that growth was maintained even throughout the pandemic. Resulting in continued team expansion.

Below is a brief overview of the various meeting options.

Remote Only Meeting

  • All presenters, delegates and technical crew are remote.
  • No travel required
  • Audience engagement through question submission and polling questions.
  • Live presenter and delegate tracking
  • Presentation delivery can be a combination of live and pre-recorded (Pseudo live)

Hybrid Meeting

Traditionally our hybrid meeting delivery consists of a live face to face audience with presenters in person or remote.

The meeting is also streamed to those site participants who could not attend due to, availability, travel restriction, regulatory issues or sponsor limitations.

We can offer both single-site and multi-site hybrid meetings.

Single-site Meeting: This consists of a central ‘Hub site’ in which the faculty are located as well as a local audience, with the meeting also being streamed to a wider online audience.

    • The value of a hybrid meeting delivery is that the sponsor is not limited on audience numbers to view the presentations therefore increasing their message delivery.
    • Site participants appreciate being given the option to attend either face to face or virtually
    • Virtual audiences still have the opportunity to engage with the face-to-face meeting through question submission and polling questions.

Multi-site Meeting: This is a combination delivery of a central ‘Hub site’ in which the faculty are located and a number of multiple local audience sites. Each local site has a local country face to face audience, who receive the central presentation from the hub site.

    • Value of the ‘Multi-Site Hybrid’ delivery is that it limits international travel whilst ensuring a global message from the clinical team at the ‘Hub site’
    • Local sites can share experiences with peer to peer communication as well as building relations with the sponsor country representatives.
    • ‘Local sites’ can engage with the ‘Hub Site’ during Q&A sessions and partake in polling questions through additional applications
    • ‘Multi-Site Hybrid’ delivery also caters for those participants who wish to view the broadcast from their own location over a hub site, but still have to option to ask questions and submit a vote.

COLLABORATIVE APPROACH.

QAV Inc has just successfully completed a new mini-series roadshow for a new US Pharma Biotech company

With the continual gradual return of live events, QAV Inc has just successfully completed a new mini-series roadshow for a new US Pharma Biotech company. The program commenced in Arizona US with the keynote addresses to the eager U.S HCP audience. The program then made its way over for the European leg with our US office partnering with QAV Ltd to delivery further events in Germany, Poland and Georgia consecutively.

QAV Inc were responsible in producing the bespoke scenic elements for the stakeholder and tasked to ensure safe passage to each of the venues. QAV Inc also provided the Production Manager who worked with the various country regulations to ensure all guests who attended felt safe in their environment.  The series had a number of interactive elements which QAV inc produced along with providing the relevant hardware.

Ryan OldfieldVice President at QAV Inc commentated “The event stakeholder really appreciated having a US Production Manager to drive the program forward as well as being available to answer their questions when they arose during their office hours.” Oldfield continues “working with QAV Ltd is a seamless process and one that both the stakeholder and I valued given the varying potential challenge this series could have faced in the current climate.”

Ed Noble – Event Director at QAV Ltd also stated “To be able to offer our event stakeholders the opportunity to have consistent delivery both in terms of specification and staffing is a huge benefit to them, and one that shouldn’t be undervalued.” He continues “Having various operational sites allows the stakeholder to communicate at all times to QAV and ensure any potential issues that arise are dealt with in an effective and efficient manner. It is always a pleasure to work with QAV Inc and I hope that this collaborative effort is one of number moving forward as we both continue to navigate our way out of the pandemic.”

LIVE PRESENTATION AND PANEL DISCUSSION FOR A VIRTUAL AUDIENCE.

The medical communication agency and client stated “It was fantastic to be back on-site and such a dream to work with QAV compared with a lot of the AV team experiences I’ve had in the past, so thank you guys again for being great as always”.

Date: 11th August 2021  |  Location: Salisbury  |  Venue: Red Lion Hotel

Equipment: Custom studio backdrop, 4 camera unit broadcast with live TX feed into the webcast room

Crew: 6 Onsite Crew (Audio Engineer, 3 Camera operators, Vision Mixer, location Webcast Producer) in addition a further Webcast Producer was located in our UK office monitoring the broadcast and supporting the virtual audience with any queries they may have.

Output: Live presentations and interactive panel discussion broadcast out to a virtual audience.

The location for this shoot was at a Grade I listed hotel in the centre of Salisbury. The presenters were local KOLs from the local NHS trust. The presenters were in physical attendance along with the medical communication agency and client.

QAV provided, installed and operated all equipment including backdrops, cameras, lighting, audio, presenter comfort monitors and slide advancers and were responsible for the uploading of the vision mixed video content along with the slides onto the webcast platform for the virtual audience. We were also able to switch the presenter comfort screens to show audience submitted questions which were live moderated by an on-site medical writer.

One of the main challenges we had to overcome for this project was the less than ideal internet speeds from the local network. QAV undertook an initial site visit to view and test the infrastructure. These results swayed us away from using the local network and recommended using a bonded 4G mobile internet solution. A 2nd site visit was undertaken using the recommended solution which proved successful with a robust and stable connection speed being achieved.

The achieved infrastructure allowed the event to go ahead as per the client’s aspiration of a live broadcast, with the broadcast also being made available on-demand post event for those audience members who couldn’t attend live.

The QAV production crew as well as the medical communication agency and client stipulated on-site their sheer pleasure in undertaking this delivery in a semi-live environment and hopefully is a sign of things to come as we slowly gain confidence in the corporate live event arena.

Finally upon completion of another successful program, the medical communication agency and client stated “It was fantastic to be back on-site and such a dream to work with QAV compared with a lot of the AV team experiences I’ve had in the past, so thank you guys again for being great as always”.

QAV were asked to participate in an ideas exchange for a medical communication agency about programme migration to virtual.

Internal Communication Event.

The received brief was to provide some best practises and program considerations when migrating an existing face to face program onto a virtual delivery platform.

In order to provide a comprehensive solution, we decided the best delivery option was to ‘show by doing’ and to create a program to broadcast to the proposed remote audience.
The program duration was scheduled for 30 minutes with the make up being 20 minutes of pre-recorded presentations and 10 minutes for a live Q&A session, during which the panel answered submitted questions from the remote audience.

A pop up studio environment was built at our office which would provide the panel discussion backdrop for a live Q&A session of the program. This created space also facilitated the requirement to shoot the pre-recorded presentation elements. The RAW footage was then in turn edited and adorned with accompanying supporting graphics.

To show further flexibility and capability of QAV virtual services, the QAV panel consisted of three presenters within the created studio with a fourth member being located in out adjacent building and mixed in when required.

“The program was very well received by the client both in its production value and engagement but also for the content and knowledge imparted to their staff for future consideration and hopefully further collaboration.”
