WORK EXPERIENCE 2023.

Over the course of the summer, QAV has proudly accommodated three young students with work experience across multiple departments within the company ranging from production technicians through to digital filming and editing.

QAV values offering work experience to students who are about to embark on further education. QAV strongly believes in investing in the future and supporting the local community all whilst giving young people a kick start to their careers. Giving them the opportunity to see which direction they want to travel in their lives.

Emily

Throughout her 2 weeks, Emily, from the Ely area, worked closely with our experienced AV team learning the everyday procedures of delivering a professional service in a timely, functional and safe manner. Emily got to experience first-hand what it takes to prep our shows from start to finish. From concept design artwork through to final confirmed kit lists. Then finally to deliver the promised show to our usual high standards.

At the end of her 2 weeks to see how shows work in a live environment, in conjunction with the team, Emily built her own ‘Who Wants to Be a Millionaire’ show. For one aspect of the show, utilising some of the industry-leading kit we have to offer and working closely with experienced technicians, Emily set up her own light show. This involved bright moving-head lights, suspended from truss hangs in our Warehouse, controlled by a lighting desk.

She also set up her own audio system. Controlling multiple microphones and speakers simultaneously from a digital sound desk. All whilst ensuring our cameramen and recorders were also getting a clear audio signal.

Projectors were set up on our Fast-Fold screens to display the game show for both participants and viewers before finally undertaking the live show with live hosts and participants.

Emily added – “Exploring equipment like lighting, audio, projecting, cameras and setting equipment up in general has opened my mind and given me a wide variety of choices that I could possibly explore in the future.

Riley

Riley joined us for a week’s work experience, with an interest in design, film and editing. Working closely with our digital team Riley worked on various media projects across different platforms.

At the start of the week Riley worked with our Graphic Designers to create a logo which could be used later in the week on the other media projects. She learnt the basics of Adobe Illustrator to create a logo based around her name and love of cats. Sourcing different fonts, manipulating images and playing with different colour options.

This logo was then imported into Blender where Riley learnt the basics of the software to create a short looping 3D animation.

Mid-week Riley created a short movie trailer using a framework template. Sourcing additional images and footage to insert into template, selecting the best clips and adjusting the footage speed to match the background music. She also added movie titling and her previously made logo at the end.

Towards the end of the week she learnt about the filming processes we use at QAV. Learning how to setup our interview cameras, and lighting setup. She then filmed some interviews with various members of staff, asking some pre-prepared questions. She then edited the footage, colour grading it, normalising the audio. Before adding on-screen titling in the lower thirds.

Riley added – Thank you for having me for work experience, I have had an amazing week. I have really enjoyed working here and developing new skills that I can use in the future. It has also helped to boost my confidence in these skills and this feels like a good first step to a career in media.”

James

After a successful and productive engagement as part of last year’s work experience, we were thrilled to welcome James back to our team for an extended duration over the course of this summer.

Continuing from his positive work experience with us last year, it was great to see his dedication and positive attitude return as he lent a hand with our Stock Take and PAT Testing activities.

James’ willingness to come back speaks volumes about the positive environment we’re building here. His previous experience proved invaluable as he seamlessly integrated into our current projects with the team. From helping to manage our inventory with our stock take, to ensuring the safety of our equipment through PAT Testing.

This year James also helped with creating some of our social media content, learning the process from discussing the ideas, taking and choosing the best photos and coming up with accompanying text to bring everything together.

Last year, like many students before him, his meticulous approach to tasks stood out and it was a pleasure to welcome him back for another summer’s work. We appreciate his commitment to accuracy and efficiency and it aligns perfectly with our team’s objectives.

James added – “Thank you for having me back at QAV. I have enjoyed working as part of the team and hope I can come back again next summer.”

QAV'S VIRTUAL MEETING SERVICES.

QAV have been providing webcasting services for over 15 years and continue to grow. Our custom built webcast and record suites have given us an increased capacity and flexibility to expand on our global deliveries.

QAV have been providing webcasting services for over 15 years, with our own developed webcast extension system called Connect Plus. Connect Plus utilises Adobe Connect, Zoom and WebEx.

In the last 3 years QAV have successfully undertaken over 1000 webinars.

Pre and post the pandemic the number of webcast projects still continue to grow. Our custom built webcast and record suites have given us an increased capacity and flexibility to expand on our global deliveries.

James Hampton (Associate Director) summed up. “5 webcasts and 3 remote records in one working day proves we have the ability to deliver, but most importantly in the most professional manner”.

While COVID still had a big impact on the events industry, within QAV, there is a positive buzz of survival and growth across the whole company as we focus our services on providing live events, film production, hybrid events and remote only webcasts plus any associated services. The flexibility of the staff and the efforts in providing additional training ensured that growth was maintained even throughout the pandemic. Resulting in continued team expansion.

Below is a brief overview of the various meeting options.

Remote Only Meeting

  • All presenters, delegates and technical crew are remote.
  • No travel required
  • Audience engagement through question submission and polling questions.
  • Live presenter and delegate tracking
  • Presentation delivery can be a combination of live and pre-recorded (Pseudo live)

Hybrid Meeting

Traditionally our hybrid meeting delivery consists of a live face to face audience with presenters in person or remote.

The meeting is also streamed to those site participants who could not attend due to, availability, travel restriction, regulatory issues or sponsor limitations.

We can offer both single-site and multi-site hybrid meetings.

Single-site Meeting: This consists of a central ‘Hub site’ in which the faculty are located as well as a local audience, with the meeting also being streamed to a wider online audience.

    • The value of a hybrid meeting delivery is that the sponsor is not limited on audience numbers to view the presentations therefore increasing their message delivery.
    • Site participants appreciate being given the option to attend either face to face or virtually
    • Virtual audiences still have the opportunity to engage with the face-to-face meeting through question submission and polling questions.

Multi-site Meeting: This is a combination delivery of a central ‘Hub site’ in which the faculty are located and a number of multiple local audience sites. Each local site has a local country face to face audience, who receive the central presentation from the hub site.

    • Value of the ‘Multi-Site Hybrid’ delivery is that it limits international travel whilst ensuring a global message from the clinical team at the ‘Hub site’
    • Local sites can share experiences with peer to peer communication as well as building relations with the sponsor country representatives.
    • ‘Local sites’ can engage with the ‘Hub Site’ during Q&A sessions and partake in polling questions through additional applications
    • ‘Multi-Site Hybrid’ delivery also caters for those participants who wish to view the broadcast from their own location over a hub site, but still have to option to ask questions and submit a vote.

LIVE PRESENTATION AND PANEL DISCUSSION FOR A VIRTUAL AUDIENCE.

The medical communication agency and client stated “It was fantastic to be back on-site and such a dream to work with QAV compared with a lot of the AV team experiences I’ve had in the past, so thank you guys again for being great as always”.

Date: 11th August 2021  |  Location: Salisbury  |  Venue: Red Lion Hotel

Equipment: Custom studio backdrop, 4 camera unit broadcast with live TX feed into the webcast room

Crew: 6 Onsite Crew (Audio Engineer, 3 Camera operators, Vision Mixer, location Webcast Producer) in addition a further Webcast Producer was located in our UK office monitoring the broadcast and supporting the virtual audience with any queries they may have.

Output: Live presentations and interactive panel discussion broadcast out to a virtual audience.

The location for this shoot was at a Grade I listed hotel in the centre of Salisbury. The presenters were local KOLs from the local NHS trust. The presenters were in physical attendance along with the medical communication agency and client.

QAV provided, installed and operated all equipment including backdrops, cameras, lighting, audio, presenter comfort monitors and slide advancers and were responsible for the uploading of the vision mixed video content along with the slides onto the webcast platform for the virtual audience. We were also able to switch the presenter comfort screens to show audience submitted questions which were live moderated by an on-site medical writer.

One of the main challenges we had to overcome for this project was the less than ideal internet speeds from the local network. QAV undertook an initial site visit to view and test the infrastructure. These results swayed us away from using the local network and recommended using a bonded 4G mobile internet solution. A 2nd site visit was undertaken using the recommended solution which proved successful with a robust and stable connection speed being achieved.

The achieved infrastructure allowed the event to go ahead as per the client’s aspiration of a live broadcast, with the broadcast also being made available on-demand post event for those audience members who couldn’t attend live.

The QAV production crew as well as the medical communication agency and client stipulated on-site their sheer pleasure in undertaking this delivery in a semi-live environment and hopefully is a sign of things to come as we slowly gain confidence in the corporate live event arena.

Finally upon completion of another successful program, the medical communication agency and client stated “It was fantastic to be back on-site and such a dream to work with QAV compared with a lot of the AV team experiences I’ve had in the past, so thank you guys again for being great as always”.

BACK BEHIND THE CAMERA .

As the country starts to open up we are back on the road and back behind the camera for a range of COVID secure filming projects. Over the last month we have undertaken a range of different projects up and down the country, below are just a few examples of what we have been up to.

KOL Shoot.

Date: 24th May 2021
Location: London
Venue: Studio
Equipment: 2 x Sony FS7 4K camera shoot kits including comfort monitors and lighting
Output: Produce 4 different subject videos

This project was to capture 4 short interviews with a Key Opinion Leader (KOL) at a COVID secure London studio. All cameras and additional equipment was provided and operated by QAV.

Post event the videos were colour graded and audio optimised by QAV’s in-house digital team before the client was provided with the High Definition footage for post-event use.

Training Video Shoot.

Date: 24th May 2021
Location: Glasgow
Venue: Scottish Ambulance Service base at Glasgow Airport
Equipment: 3 x URSA Mini Pro 4K camera shoot kits including lighting, plus a live video feed from the intubation camera
Output: Produce 4 post-event training videos (2 procedural, 1 interview and 1 general tips)

QAV were tasked with producing 4 training videos, 2 showing procedural techniques, 1 interview with the trainer and 1 with general training tips. The subject for the training was Neonatal Intubation and filming was undertaken in a simulated intubation room using a baby mannequin as the patient.

All cameras and additional equipment was provided and operated by QAV, we also took a live record feed from the intubation camera used during the training.

All footage was then edited by QAV’s in-house digital team to create the final training videos which included subtitles and side by side video examples of the intubation process.

Live Moderator for Virtual Conference.

Date: 9th – 10th June 2021
Location: Moderators Home
Equipment: Blackmagic Pocket Cinema 4K camera shoot kit including comfort monitors and lighting
Output: Live moderator video and audio feed into online webcast

The location for this shoot was at a meeting moderator’s home in London. The presenter was tasked with being a guest moderator for a virtual conference. QAV provided and operated all equipment including cameras, lighting, audio, presenter comfort monitors and were responsible for the uploading of the video content onto the webcast platform over a 2 day period.

Webinar Live Filming.

Date: 22nd June 2021
Location: Leicester
Venue: Hospital
Equipment: 3 x URSA Mini Pro 4K camera shoot kits plus video feed from the intubation camera
Output: Produce webinar training videos (procedural and interview style webinar record)

QAV were tasked with producing both training videos showing procedural techniques (Laryngeal mask insertion, two person airway opening manoeuvre and suction under direct vision) using a baby mannequin as the patient, plus an interview style webinar record with the trainer. This was undertaken at Leicester Hospital under COVID secure conditions.

All cameras and additional equipment was provided and operated by QAV, we also took a live record feed from the intubation camera used during the training.

All footage was then edited by QAV’s in-house digital team to create the final training videos and webinar interview.

KEYSTONE VIRTUAL TRAINING PROGRAM

Keystone Virtual Training Program .

QAV successfully produced a four day Oncology meeting for MSD Pharmaceuticals in which external KOL’s and staff has the opportunity to interact and gain latest best practises
For the past four years MSD has held a four-day internal training programme to share knowledge around the latest immune therapies and data for the oncology unit across its EMEA and Canada regions. Previously always held in-person, the project moved online for the first time in 2021 due to COVID-19.

QAV was approached by Open Health, the agency asked to deliver this event, as it is recognised as an expert in the technical field of producing live and virtual events. There was some trepidation around moving the event online for the first time and concerns around the quality of the event. Questions were also muted on how likely on how an online event would meet the overall objectives of allowing attendees to network and share knowledge with one another. However, QAV was able to allay fears ensuring the digital event was delivered to as high a standard as in previous years.

The number of attendees has been growing over the past few years, but this year saw a particular increase due to the increased accessibility for the digital incarnation of event program enabling over 300 attendees to join each day.

With a panel spread across a number of territories and attendees joining globally, QAV organised a number of technical rehearsals several months in advance of the event. The event stakeholder chose Webex as the delivery platform of choice due to their organisation’s familiarity. QAV guided/advised the stakeholder into deciding Webex events was the best fit for this particular program given the added presenter hierarchy functionalities required.   Attendees were also sent detailed instructions on how to join as session along with a personalised agendas with relevant access links. QAV delivery also included a fully supported technical service throughout to assist with any individual challenges that arose.

The first day of the event allowed attendees to meet and greet and re-familiarise themselves with their colleagues and the content. 

The second and third days were given over to concurrent plenary sessions followed by a specific workshop.  Each of the plenary sessions were pre-recorded by QAV’s virtual recording studio and edited into the playback plenary programs which lasted approximately 30minutes. The audience  who selected to attend these topic specific sessions watched the plenary recording and then automatically entered the workshop session which were intended to be more interactive and engaging with audiences being asked to partake in case studies, debates and interactive voting which Open Health devised and delivered the integrated Slido application.  In addition to that to build further engagement, attendees were invited to ask questions throughout the session which could then be ‘up voted’  to ensure the panel addressed the most pertinent questions during the scheduled panel discussions.

Up to three different workshops were run in parallel on consecutive days with eleven workshops held in total over the course of the event. Attendees able to choose which was most relevant to themselves via the program registration portal which also hosted pre event materials and well as the legacy assets post event.

With a number of time zones to take into account the plenary sessions and workshops were held in the afternoons allowing all attendees to join without any difficulties.

Again utilising QAV’s virtual record studio, each of the sessions were recorded and edited into a series of post event training modules available to watch again on-demand via the online portal.

The final day of the event was dedicated to smaller networking events, award celebrations and sharing successful country best practises as part of the content.

With the program being closed out with a highlights video showcasing the positive experiences of the inaugural virtual Keystone program.

As with all events, the QAV team worked to anticipate any issues that could arise and resolved them before they become a problem. With only virtual communication between QAV, Open Health and their client, the organisers and presenters relied on QAV to ensure the smooth running of the event. QAV’s dedication to event delivery had a number of contingency plans in place, but were fortunately not required.

KNOWLEDGE IS POWER .

QAV were asked to participate in an ideas exchange for a medical communication agency about programme migration to virtual.

Internal Communication Event.

The received brief was to provide some best practises and program considerations when migrating an existing face to face program onto a virtual delivery platform.

In order to provide a comprehensive solution, we decided the best delivery option was to ‘show by doing’ and to create a program to broadcast to the proposed remote audience.
The program duration was scheduled for 30 minutes with the make up being 20 minutes of pre-recorded presentations and 10 minutes for a live Q&A session, during which the panel answered submitted questions from the remote audience.

A pop up studio environment was built at our office which would provide the panel discussion backdrop for a live Q&A session of the program. This created space also facilitated the requirement to shoot the pre-recorded presentation elements. The RAW footage was then in turn edited and adorned with accompanying supporting graphics.

To show further flexibility and capability of QAV virtual services, the QAV panel consisted of three presenters within the created studio with a fourth member being located in out adjacent building and mixed in when required.

“The program was very well received by the client both in its production value and engagement but also for the content and knowledge imparted to their staff for future consideration and hopefully further collaboration.”
